Choosing EHR and practice management software: a workflow checklist
Compare clinical records, scheduling, access controls, data migration and integrations before selecting healthcare software.

Separate clinical records from practice operations
An electronic health record organizes clinical documentation. Practice management covers scheduling, services, team administration and billing. These workflows overlap, but a product supporting one does not automatically support every requirement of the other. List the work each role performs before comparing feature lists.
Trace one patient journey
Walk through a new patient, an existing patient and a patient who changes an appointment. Check identification, intake, required authorizations, scheduling, documentation, billing and follow-up. For an institution already using another health information system, decide which system remains authoritative for each record.
Verify integrations instead of assuming compatibility
Ask which read and write operations are available, who authorizes access, how duplicate records are prevented and how synchronization failures are handled. Support for an API or an interoperability standard does not establish a working connection to every vendor. Agree on a test environment and acceptance criteria before promising live synchronization.
Review permissions and information handling
Confirm what practitioners, coordinators and nurses can see and change. Review auditability, exports, retention, account removal and recovery procedures. Security features and an infrastructure provider’s controls do not by themselves certify a complete deployment or establish legal compliance in every country. Obtain the contractual and technical review appropriate to the institution.
Prepare the transition
Inventory existing data and agree on what will migrate. Test a representative sample, reconcile record counts and review the handling of missing or conflicting fields. Keep a recovery plan and identify who approves the switch. Training should include the actual tasks performed by each role, not just a tour of screens.
Evaluate Vitales against your workflow
Vitales connects records, appointments, services, communication and billing workflows. Start with the product information and onboarding material, then validate your institution’s requirements in a demonstration. The right decision depends on verified workflow coverage, integration scope and support arrangements, not a universal ranking of software.
