How to introduce an AI receptionist in a clinic
A practical implementation guide to services, scheduling, human handoff and evaluating AI appointment conversations.

Start with a defined administrative task
An AI receptionist can help with service questions, appointment requests and routine follow-up. Start with one channel and a small set of services. Write down the questions the agent may answer, the information it needs to book and the situations that require a person. Clinical diagnosis and urgent care decisions should not be treated as reception tasks.
Connect information before automating replies
In Vitales, the service catalog and agent instructions supply context for conversations. Keep service names, duration, preparation instructions and approved pricing current. A voice connection, a WhatsApp connection and calendar availability are separate dependencies: verify each one. An integration marked connected is not evidence that the complete patient journey works.
Test the difficult conversations
Test a new booking, an unavailable time, a date correction, a price question during identity collection, a reschedule and a request for a human. Ask testers to send several short messages as real patients do. The assistant should preserve corrections and confirm a booking only after the scheduling system succeeds. Never evaluate it only on a rehearsed demonstration.
Define a human handoff
Choose who receives escalations and when they are available. Stop automated replies during human control. Give staff enough conversation context to continue without asking the patient to repeat everything. Keep access limited to authorized team members.
Follow up with permission and context
A reminder should resume the person’s actual request, not restart a sales script. Messaging permissions and provider rules must be checked when the message is sent. Approved templates may be needed outside an open messaging window. Stop acquisition outreach when the patient books, declines or asks not to be contacted.
Measure a pilot before expanding
Record eligible enquiries, successful bookings, errors, human handoffs and attendance over a defined period. Compare comparable services and opening hours. More messages do not necessarily mean better care or more attended appointments. Report the sample size, dates and limitations alongside any claimed improvement.
